In the Contacts section under CRM, the Contacts of a company can be added to an existing customer in DocketManager. Contacts are the only point of contact in DocketManager, all communications sent through DocketManager are only accessible if there is an available contact with an email address.


The CRM > Contacts tab can be used: 

  • To search and locate a contact or group of contacts
  • To action a contact
  • To bulk action contacts
  • To delete contacts
  • To export a contact list


Note: Access to these functions will vary based on the user's security settings.


Using the search filters on contacts allows you to locate a particular contact or it can be used to find multiple contacts with similar specs.


Note: If there is a specific set of search criteria you use often, it's possible to save it in the form of a Smart List for future searches. (See General - Smart Lists)
Searching for a Contact


Note: Clicking on the spyglass icon will toggle the search filter panel to hide or display.


Step     Action

  1.       Select {CRM} and then select the Contacts tab.



  2.      The search criteria that can be used include:


FieldAction
Contact NameEnter in the full or partial Contact Name of the contact. 
Customer NameEnter in the full or partial name of the Customer Name. 
Customer NumberEnter in the full or partial name of the Customer Number. 
TitleEnter in the full or partial Title.
Phone NumberEnter any or all digits of the Phone Number. 

e.g. If you enter ‘5’, it will bring up all phone numbers that contain a 5. If you enter just the area code ‘519’, it will bring up all the phone numbers that have that area code. 
Email AddressEnter in the full or partial Email Address.
Sales RepSelect Sales Rep from the drop-down menu.
ZIP/Postal Code
Enter in the full or partial ZIP/Postal Code.
CountrySelect Country from the drop-down menu.
RegionSelect Region from the drop-down menu.
LetterSelect a letter from from the alpha box below Letter.

Note: As soon as a letter is selected, a search will be done bringing up all customers whose name starts with the selected letter. Any other search fields with data entered will also be applied to the search.
TagsSelect one or more Tags from the drop-down menu.

Note: Utilizing this search criteria will not filter results to find customers with all selected tags. If multiple tags are selected, search will include all customers with at least one of the selected tags.
RolesSelect one or more Roles from the drop-down menu.


  3.      Once Search criteria has been entered, select {Search}. To clear all 

           search criteria, select {Clear}.



Contact Actions  


To open the sub-action menu, click on the vertical ellipses for a customer and then select an action from the drop-down.

EditThis opens to Edit Contact modal for this contact. See Contacts-Editing a Contact.
Add a NoteThis opens the New Note modal. 
Add a TaskThis opens the New Task modal with Related To field set to this contact.
New OrderThis opens the New Order modal, defaults pre-filled for this customer/contact.
New QuoteThis opens the New Quote modal, defaults pre-filled for this customer/contact.
New ProductThis opens a new Product Order page.
Email LoginThis generates an email for this Contact to activate their portal login and set their password.
Email This opens the Email modal for this contact.
