Before stock can be added, a purchase order (PO) must first be created (See PO - Creating a Purchase Order). Stock can then be added to a purchase order per stock or per item. 


The reorder quantity is systemically calculated and will depend on the stock and how it is added to the purchase order.

  • Add Per Stock - quantity will only systemically calculate if the stock Requires Reorder

- It will calculate based on all items that require that stock + minimum level rounded to the nearest package quantity 


Note: If a stock has outstanding order items with the Inventory Status set to Requires Reorder, it will still display as Requires Reorder until those items have had the stock Inventory Status changed from Requires Reorder to Allocated. To have the order items update Inventory Status automatically, the Add Per Item function should be used instead.


  • Add Per Item will calculate based on the individual item that requires the stock + minimum level rounded to the nearest package quantity.

Note: When the PO is sent, the Inventory Status on the order item will automatically update to Allocated and the stock tab will display a record of the associated PO and it's status. 


This ensures the purchase order quantity covers the minimum amount of stock needed to fulfill current orders and maintain minimum inventory levels.

Adding Stocks to a PO - Per Stock

Step     Action  

  1.       Select {Add} under Stocks then select {Add Per Stock} from the drop-down. An Add 

            Stocks modal will open.


  2.        Select stock by checking boxes on the left-hand side. Check box above 

             Stock column to select all stocks. 

  3.        Select {Add}. The added stock will now appear under Stocks section.


Adding Stocks to a PO - Per Item

Step     Action  

  1.       Select {Add} under Stocks then select {Add Per Item} from the drop-down. An Add 

            to PO modal will open.


  2.        Select stock by checking boxes on the left-hand side. Check box above 

             Item Number column to select all items. 

  3.        Select {Add}. The added stock will now appear under Stocks section. Selecting the + icon 

             will expand to show details for the item for which the stock was added, including the 

             reservation quantity.


Once the supplies have been added, the purchase order can be printed or emailed. (For more information, see PO - Emailing and Printing a PO). Emailing the PO will automatically update the PO status to Sent.



Receiving Stocks

Step     Action

  1.       Select {Received} under Stocks. A New Received Record modal window will open.


  2.       Enter value for each Received Record.

  3.       Select {Save}. 



Editing Stocks

Step     Action       

  1.       Hover mouse over Stock entry to be edited and select the pencil icon that appears on 

            the right-hand side of the entry. An Edit Stock modal window will open.   

  2.       Make the required changes.      

  3.       Select {Add}.



Deleting Stocks

Step     Action

  1.       Select entries under Stock to be removed by checking boxes on the left-hand side. 

            All entries can be removed by checking box to left of {Add} under Stock

            Note: Stock can only be deleted if items have not been received.


  2.       Select {Delete}. A window will pop-up to confirm selected items to be deleted.

  3.       Select {OK} to delete selected items. A results window will pop-up to indicate the

            selected PO Items have been successfully deleted.
