Overview


A Budget is a tool for tracking how much money has been spent against a set budget allowance for a specified time frame. 


Setup


Create a Budget

Step       Action

  1.         Navigate to Settings > Customer > Budgets and click {New} under Budgets. A New Budget                modal will open.



  2.      Complete the fields.


FieldDescription
ActiveDefault set to Yes. Toggle switch to No to set budget as Inactive.
CodeEnter a budget Code.
NameEnter a budget Name.
AmountEnter a value for the budget Amount. If left blank, the budget amount will be set as Unlimited. 

Shipping, Postage, and TaxesDefault set to No. Toggle switch to Yes to apply budget to each item.
Start DateSet a budget Start Date using the calendar.
End DateSet a budget End Date using the calendar.
FrequencyThis sets the time frame for each budget period on this budget.

Select a budget Frequency (One Time, Weekly, Monthly, Quarterly, or Yearly) from the drop-down.
Roll OverDefault set to No. Toggle switch to Yes to allow budget amount to roll over to the next budget installment.

Note: This field is only visible if frequency is set to more than 'One Time'.



  3.        Select {Save}. A results window will pop-up to indicate the selected Budget

             has been saved.


       

Once the budget has been created, budget periods will be added based on the frequency that has been set. Any order items included in each budget period will be visible by clicking on the + icon to expand the budget period view.


Note: If the budget amount is set as unlimited, individual orders applied to the budget period will be visible but the total value of orders will not be tracked.


Assign a Contact to the Budget

Within the Budget window you can assign Contacts to the budget by clicking on {New} under Contacts.
To get to this screen navigate to Settings > Customer > Budgets and click on the budget that you would like to edit.



Testing


Once the budget is created and a Contact is assigned you can test this process. Write up an order using the assigned Contact and in the Pricing tab choose the correct Budget from the dropdown.
*Budgets can also be assigned to Order Items using Bulk Actions


Navigate to Settings > Customer > Budgets and click on the test Budget. Under Items you will see a {+} which when clicked will expand to show all of the order items that are included in the Budget.


Advanced


Budget Amount Exceeded

If the Budget amount is exceeded within a time period an error will appear on the Order screen alerting you that changes will need to be made to proceed.


Accounts Receivable

Once the Order is posted the total of the order will appear in Accounting > Accounts Receivable.
